This section is dedicated to marketing and communications materials for the public. See the Additional ASU Resources section for information on using ASU Print Online for printing and ordering business cards, name tags, branded stationery and more.

Digital and printed materials

Design

Design your own materials: Once you have reviewed the ASU Branding section, including colors, font, etc., you are all set to start creating any digital or printed materials to help market your school, unit, events, etc. This includes flyers, social media graphics, etc. But always remember – before any materials are printed or shared with the public, all public-facing materials, including ads, stories and articles, flyers, swag, etc., must be submitted for review using the project request form​. We will review the design for branding standards and the copy for writing standards. We can also help if you just need some finishing touches.

Use templates: The Herberger Institute Marketing and Communications team also offers branded templates for each of our units that already include your logo or wordmark and include instructions on how to use them. ASU Enterprise Brand Strategy and Management also offers several templates and libraries you can use in all your marketing and communications – just remember to replace ASU logos with your unit logo or wordmark.

Get help in designing materials: The Herberger Institute Marketing and Communications team is here to help you with design needs for any high-level projects. After you submit a project request, we will review and either send recommendations or set up a kickoff meeting to discuss the project. 

Signage

Some interior and exterior signage requires creative and content review by ASU Enterprise Brand Strategy and Management and sometimes also placement review. For those items, follow the design information above. Once you have a design, submit a project request for the Herberger Institute Communications and Marketing team to submit those for ASU review.

Those items include:  

  • 4-by-8 framed banners.
  •  Acrylic panels.
  •  Construction fence banners.
  •  Digital signage (Poppulo, formerly Four Winds) for university feed.
  •  Fulton Center prism banner.
  •  Interpretive signage.
  •  Light pole banners.
  •  State press news racks.
  •  Surface clings.
  •  Temporary exhibit signage.
  •  Wall and glass wraps.

Sharing online

Once you have your final designed files for any digital materials, make sure you’re sharing them out online. We are also happy to help with this, such as by amplifying social media messages. We also maintain an Issuu account and can upload certain marketing materials to the site if it makes sense. Reach out to your communications liaison or submit a project request for help sharing your designed file.

Printing

ASU Print and Imaging: If you are designing materials for print, or if our team is helping you design materials for print, once you get your final print files, you can reach out to the printers. Our recommendation is to use the ASU Print and Imaging lab whenever possible. You can submit a request for a quote and then submit the final print files.   

Outside vendors: You are allowed to use outside vendors for your printed materials (including apparel, swag, etc.), but you must use an approved vendor

External paid advertising

Any ASU unit planning to run paid media, including social media ads, must work with the ASU Outreach Hub to coordinate their campaign.

If you want to place any external paid media, you will need to submit a request to the ASU Outreach Hub - either with what information you have and ask for recommendation, or with your full plan so they can review. For the ‘Who needs to be a part of the review/approval process?’ question, please make sure to put Deborah Sussman and Sarah McCarty. Plan ahead — the review can take up to 30 days. 

If you need to brainstorm ideas or help in planning beforehand, feel free to work with your communications liaison and have them submit a project request to our team. 

Please note that this process is also required for paid social media advertising when you’re creating an ad or ad campaign. However, if you’re just boosting a post, you do NOT need to go through this process.

ASU email marketing platform

ASU's solution for email marketing is SalesForce Marketing Cloud (SFMC). ASU has an enterprise account with Salesforce — which is an overall umbrella term for both the CRM (Customer Relations Manager) and Marketing Cloud (email client for newsletters), and the two can be connected to help share data. Please note: Try to use Marketing Cloud or SFMC when referring to the email side and not just ‘Salesforce’ – that helps with the confusion. The Salesforce CRM is also the system that the recruitment teams at ASU use for managing data on prospective students.

The Herberger Institute has three Marketing Cloud business units (BU) – one for public communications on events/news, etc.; one more specifically for recruitment and enrollment; and one for the museum. Units within the Herberger Institute are invited to join the first two business units. ASU Enterprise Technology does charge about $160 + fees per user for one year (a total of around $185). You can get access to both BUs with just the one annual charge and it’s very easy to toggle back and forth. 

To get access, visit the Salesforce Marketing Cloud webpage, and click the ‘Request a user account’ button. Also, let Sarah McCarty know if you are requesting access: sarah.a.mccarty@asu.edu.

  • When filling out the form, your Primary Business Unit will be: ASU Herberger Institute for Design and t (it cuts off).
  • If you also want access for recruitment/enrollment Business Unit, the Secondary Business Unit will be: Herberger Office of Recruitment and Administration.
  • For the billing information, you will need to get the Cost Center and Program information from your school unit’s business office. There is a $160 + fees (about $185 total) charge per person, once per year.
  • For the CRM question – I would put that you do not need access (we could ask for it later if you need).

The form will also ask about trainings. You must complete FERPA before they give you access but you may have already done this. On the page link above there are other trainings too.
